Overview

Orbie is the built-in AI assistant for OrgBaseHQ. There are two versions — Orbie for documentation help (available to everyone), and Orbie Pro for live organization data queries (available on the Pro plan). Both are powered by AI and designed to give you instant answers instead of searching through pages or running reports.

How to Use Orbie

Look for the floating button in the bottom-right corner of the screen. On documentation pages it's a purple chat bubble (Orbie). In the admin dashboard or member portal, it's a green sparkle button (Orbie Pro).

Compound questions work too! You can ask things like "Who owes dues and hasn't attended any activities?" and Orbie Pro will use multiple data queries to piece together the answer.

Orbie Pro in the Member Portal

If your organization has the Member Portal enabled and you're on the Pro plan, members will also see Orbie Pro when they log in. The member version is more limited — members can only ask about their own data.

Admin Toggle

Admins can enable or disable Orbie Pro in the member portal independently of the portal itself. Go to Settings → Organization → Member Portal and toggle "Orbie Pro for Members". This is on by default for all Pro organizations. Turning it off removes the Orbie chat button from the portal while keeping the rest of the portal fully functional.

What members can ask:

Members cannot see other members' information, financial details, dues collection rates, or any admin-level data. If a member asks for something beyond their access, Orbie Pro will let them know and suggest they contact their organization administrator.

Security & Privacy

How Your Data Is Protected

  • Read-only access — Orbie Pro can only read your data to answer questions. It cannot create, edit, or delete anything
  • Organization isolation — Orbie Pro only sees data from your organization. It has no access to other organizations on OrgBaseHQ
  • Member isolation — In the member portal, Orbie Pro only sees that specific member's data. It cannot access other members' profiles, dues, or attendance
  • No chat history stored — Conversations are not saved to any database. When you close the chat panel, the conversation is gone
  • Report inaccurate responses — If Orbie gives a wrong or unhelpful answer, click the flag icon below the response to report it. Reported messages are saved for quality review by our team so we can improve Orbie over time
  • No custom SQL — Orbie Pro uses predefined, safe data queries. It cannot write or execute custom database commands
  • Rate limited — To prevent abuse, there are limits on how many questions can be asked per user and per organization
  • Processed on Cloudflare — AI runs securely on Cloudflare Workers AI. Your data is never sent to external third-party services
  • No sensitive fields exposed — Internal IDs, database details, passwords, and other technical information are never included in responses

Frequently Asked Questions

Can Orbie Pro change or delete my data?

No. Orbie Pro is completely read-only. It can look up information to answer your questions, but it cannot modify, create, or delete any records. All data management is still done through the normal admin interface.

Is my conversation saved or shared?

No. Conversations are not stored in any database. They exist only in your browser while the chat panel is open. Once you close it or refresh the page, the conversation is gone. The only exception is if you explicitly report a response using the flag icon — the reported message and surrounding context are saved for quality review.

Why can't Orbie Pro answer my question?

Orbie Pro can only answer questions about data that exists in your OrgBaseHQ account. If it says "no results found," the data may not have been entered yet. Orbie Pro also cannot answer general knowledge questions, give opinions, or access external websites.

I'm on the Free or Starter plan. Can I try Orbie Pro?

Orbie Pro is exclusively available on the Pro plan. However, you can use the regular Orbie assistant (the purple chat bubble on these documentation pages) on any plan to get help with OrgBaseHQ features.

I'm getting a 'too many requests' message. What should I do?

Orbie Pro has rate limits to ensure fair usage for all organizations. If you hit the limit, wait a few minutes and try again. The per-user limit is 30 questions every 5 minutes.

Can I disable Orbie Pro in the member portal without disabling the portal?

Yes. Go to Settings → Organization → Member Portal section and toggle off "Orbie Pro for Members." The portal will continue working normally — members can still view their dues, activities, and profile — but the Orbie chat button will no longer appear.

Can members see each other's data through Orbie Pro?

Absolutely not. In the member portal, Orbie Pro is restricted to the logged-in member's own data only. It uses a completely separate set of tools from the admin version. There is no way for a member to ask about another member's dues, attendance, or profile.

What AI model does Orbie use?

Orbie Pro runs on Cloudflare Workers AI using the GLM-4.7-Flash model. Your data stays within Cloudflare's infrastructure and is never sent to third-party AI services.

Tips for Getting the Best Answers

  • Be specific — "How many active members do we have?" works better than "tell me about members"
  • Use names — "Show me Maria Santos' dues" is more precise than "show member dues"
  • Ask about time periods — "Show expenses for January 2026" gives focused results
  • Try the suggested questions first to see what kind of answers Orbie Pro gives
  • If a search returns multiple matches, Orbie Pro will ask you to clarify — just pick the right one
